Unit Mission Statement
The Dean of Students Office assists all students, graduate and undergraduate, from their initial orientation to the university through successful completion of their academic and personal goals. The Dean of Students staff advocates for student needs, acts as liaison between students and academic departments, and provides supports designed to enhance personal growth and instill a sense of personal authority and responsibility in each student.
Position Summary
This position will support Care Support Services with administrative tasks and direct service to students. This position includes reception, data entry and general office responsibilities including back up reception and phone coverage for the main Dean of Students Office. This position is a part-time temporary position through at least May 21, 2022. Our office operates M-F, 8AM-5PM (closed 12-1 for lunch)-this position will work 20 hours per week; approximately 10AM-3PM; the exact schedule can be negotiated.
The position pays $18 per hour and does not include additional benefits. Employer will work with the employee to approve occasional reasonable leave time as needed.
Required Qualifications:
High school graduate or equivalent
Proficiency with Microsoft Office Suite (Excel, Outlook, PowerPoint Teams, Word).
Ability to maintain a database or record keeping system effectively
Previous experience working in a fast-paced environment
Experience with office tasks and general administrative functions (i.E., generating reports, setting up appointments screening phone calls, making travel arrangements)
Demonstrated strong interpersonal communication skills including oral and written
Must be detail-oriented and have the ability to manage multiple priorities in a fast-paced environment
Demonstrated ability to identify and respond promptly to sensitive situations and concerns, including identifying and applying applicable policies and procedures
Ability to maintain confidentiality in accordance with federal law and university policy
Preferred Qualifications:
Associate's or Bachelor's degree
Advanced skills in Outlook, Teams, Word, etc.
Strong experience using a variety of software products
Previous experience working in a setting with confidential records and information
Duties/Responsibilities:
Serve as reception for students, faculty, parents, and others visiting Care Support Services
Assist as needed with incoming calls to the Dean of Students Office phone
Monitor the Care Support Services department e-mail and phone line to include responding to student appointment inquiries, medical enrollment exception requests, and transmission of emails of concern into Care reports using Simplicity's Advocate software database
Provide medical enrollment exception support to the CSS Administrative Coordinator as needed.
Respond to and retain correspondence on behalf of the department
Perform other duties as assigned by supervisor and within the scope of the mission of the Dean of Students Office.
